We have a PTA not a PTO but I don't think that will matter.
Its a new school. Brand spanking new. I was treasurer at our old school because no one wanted the job and I was very ignorant and did a horrible job. The previous treasurer didn't know what to do because the one before left and would give no instructions - just "figure it out on your own"
So when I came to this school I told them the previous problem. I just don't know what to do and do it well. I can write checks and keep everything in order. But I need some program to keep a budget and all the stuff that I don't even know what else I'm supposed to be doing. I was promised training then got shrugged shoulders when I brought it up again.
Can someone help me? Point me to some instructions.
Hmm you could try PTO Today website. But really all our treasurer does is manage the checkbook, Type up a treasurer's report to present at each meeting - which is just a list of everything on the budget: you know, money we give to Teachers, library, money of movie day, last day of school party, I mean there's like 20 things on our budget. So it lists those things, then has what we allotted for each, Like we have $1200 allotted for the last day of school party. $200 each teacher, $100 for movie day and so on. Then the last column is what has already been spent/ or the balance of each item. That way we make sure everything is going as planned. Plus at the top of the page is a Balance in your PTO checkbook. It's just 1 piece of paper with this grid. Pretty simple but it works. Then our Treasurer basically writes out pretty much what the checkbook says. So it shows each transaction since the last meeting. Imagine a photocopy of the checkbook's transaction register. And that's it.
I believe our Treasurer uses Quicken to keep track of finances & easily print out reports. This way the officers on the board can get a detailed view & a summary is given out to PTA members at meetings. If you have money in the budget to pay for this program I think it will be a quicker & easier way to get things done. It's pretty simple to learn, I used to use it for my own stuff. Either that or at least use an Excel spreadsheet/database. This will make things easier as well. Maybe there is one online at PTO Today or PTA.org?
